Notwithstanding the reference to Zambezi Queen, these terms and conditions also apply to travel on the Zambezi Princess, tender boats, land excursions and any other form of travel used to transport passengers, and any form of transport used in connection therewith.

1. PRICING

Rates quoted are per person per trip of either 2 or 3 nights and inclusive of VAT.
A 50% supplement applies to single occupancy.
Zambezi Queen reserves the right to limit the number of single room rates per trip.
Zambezi Queen reserves the right to amend the published rates without notice.

Rates quoted include:

  • Collection from Botswana immigration at Kasane on the banks of Chobe River, Impilila airstrip in Namibia or Kasane airport in Botswana
  • Accommodation and all meals
  • All soft drinks, mineral water, teas and coffee
  • Water-based game viewing and bird watching on tender boats
  • A land-based cultural tour of a local village
  • A land-based half- day 4x4 game viewing in Botswana's Chobe National Park
  • Tiger & bream fishing in season

Rates exclude:

  • Alcoholic beverages
  • Additional transfers
  • Private guiding or additional safari activities
  • Visa Fees
  • Gratuities

2. PAYMENTS AND CANCELLATIONS

PAYMENT TERMS

A non-refundable 30% deposit is required in order to confirm a booking.
The full balance is required 90 days prior to departure.
If a reservations is made 90 days or less prior to departure, a full non-refundable payment is required to confirm the booking. Should payment not be received timeously, Zambezi Queen reserves the right to automatically cancel such reserved accommodation.

Please ensure that a copy of the bank transfer/deposit slip, together with the reservation details are faxed to the central reservations office. All bank charges are the responsibility of the guest/travel company making the relevant bank transfer to the abovementioned nominated bank account.

Credit card payments

All credit cards require a letter of authorization with the cardholder's signature to debit same. Credit card payments are subject to a 4% fee.
Cheques are not accepted and all extras must be settled directly at the boat by clients prior to their departure. Zambezi Queen cannot be held liable for any rate fluctuations of third party suppliers whose services Zambezi Queen have booked on behalf of travel companies/guests.

3. CANCELLATION POLICY (NON-GROUP)

If a cancellation is made 121 days or more prior to departure, the deposit will be refunded less R1 000 service charge per person. If a cancellation is made 120 - 91 days prior to departure, all deposits are non-refundable.
If a cancellation is made 90 days or less prior to departure, full payment will be applied as the cancellation penalty.

4. CHANGES TO RESERVATION

If you wish to change your booking, you must notify Zambezi Queen in writing as soon as possible.
Zambezi Queen will make every attempt to meet your request but cannot guarantee compliance with such requests.

5. CHECK-IN/CHECK-OUT

Check- in time is between 14h00 and 16h00 with guests being collected at Kasane Immigration, Botswana .Check-out time is at 10h00.
We will try to accommodate reasonable requests for an early check-in or late departure but this cannot be guaranteed.
Guests can only arrive on scheduled sailing dates.

6. CHILDREN POLICY

Children 7 years and older accompanied by an adult are welcome.
A Child under 16 years of age will be charged 50% of the single rate; when accommodated on a sleeper couch in a standard suite.
Please note that only 4 suites have sleeper couch facilities.
Children under 16 years of age will receive a 20% discount off the regular rate when occupying a standard bed.
Children 16 years and older are subject to adult fares.

7. GROUP RESERVATIONS AND PAYMENTS

If a reservation is made 121 days or more prior to departure, an initial deposit of 20% is required to confirm the booking, with a second deposit of 30% 120 days before departure.
If a reservation is made 121 - 90 days prior to departure, a deposit of 50% is required to confirm the booking.
The final balance is required 90 days prior to departure.
If a reservation is made 90 days or less prior to departure, a full, non-refundable payment is required to confirm the booking.

7.1 GROUP CANCELLATION POLICY:

If a cancellation is made 121 days or more prior to departure, the deposit will be refunded, minus a R1 000 service charge per person. If a cancellation is made 120-91 days prior to departure, all deposits are non-refundable.
If a cancellation is made 90 days or less prior to departure, full payment will be applied as the cancellation penalty.
*In the event of cancellations, wire fees and credit card commissions will be deducted when calculating refunds.
Cancellations are valid only if advised and accepted in writing by facsimile or e-mail.

8. TRAVEL DOCUMENTATION

It is the responsibility of the traveler to determine the nature of any travel documentation and visas required and to ensure that all his/her travel documentation, including but not limited to passports, any necessary visas and medical certificates have been obtained and are in order.
The operators and/or owners shall not be responsible for the traveler's failure to obtain such documentation.

9. MEDICAL POLICY

All travelers are required to be fit and healthy and warrant, upon making the reservation, that they are in good health. Any traveler with a medical condition or illness shall declare such condition or illness at the time of booking and shall furnish the operators with a medical certificate to the effect that he/she is fit to travel.

The operators of the Zambezi Queen nevertheless reserve the right to decline the booking in their sole and absolute discretion. In the event of such traveler being accepted for the trip, he/she indemnifies and agrees to hold harmless the owners and operators and all employees, crew members and agents against any and all claims whatsoever and howsoever arising which may be made against them arising therefrom.

It is the responsibility of the traveler to determine if any immunizations and/or vaccinations are required. Neither the owner nor operator nor any crew member, employee or agent of the Zambezi Queen shall be responsible for any harm or damages whatsoever and howsoever arising as a result of the traveler's failure to comply with this condition.

There is no medical doctor on board the Zambezi Queen.

10. INSURANCE

Travelers are solely responsible for their baggage and personal effects.

It is recommended that travelers purchase trip cancellation insurance and to ensure that such insurance covers the cost of air tickets and other non-refundable trip payments as well as international medical, baggage loss and delay insurance.
Neither the owner nor operator of the Zambezi Queen, nor any of its crew members, employees or agents shall be responsible for lost or stolen personal belongings or for any injuries or medical ailments suffered on the trip.

11. VESSEL REPLACEMENT

Zambezi Queen reserves the right to substitute another vessel for the Zambezi Queen if considered necessary i.e. due to force majeure or mechanical failure.
If the travelers do not take this option Zambezi Queen reserves the right to cancel the trip upon a refund pro rata per night not used or, as an alternative, will offer credit toward a future trip on the Zambezi Queen.

12. TRIP CANCELLATION/ALTERATION TO ITINERARY

The operators of Zambezi Queen reserve the right to cancel any trip if in their sole discretion it is deemed necessary. In this event, the traveler will receive a refund pro rata per night.
Whilst the operators will use their best endeavors to conduct the tour arrangements as booked, all itineraries are subject to change if deemed necessary or advisable.
In the event of major changes, the traveler will be notified in writing.
At the sole discretion of the captain, the routing or itinerary may be altered due to weather conditions or water levels which fluctuate depending on the time of year.

13. TRAVELERS REPSONSIBILITIES

All travelers are expected to conduct themselves appropriately and to act in a respectful manner towards each other and all crew members and staff.
Travelers are expected to acquaint themselves with these terms and conditions, which are binding upon them upon confirmation of a reservation.
Travelers are expected to acquaint themselves with and observe all onboard safety requirements and regulations which are in place for both their and their fellow traveler's benefit, including but not limited to the location of life vests and any medical aid kit.
Travelers are expected to comply immediately with all lawful directions and commands
given to them by staff or crew members.

14. AUTHORITY ON TOUR

The operators of The Zambezi Queen reserve the right to eject any traveler from the vessel in the event of the traveler behaving or conducting him/herself in any manner which poses a threat to the safety and/or well being of, or which may cause harm to, fellow travelers, staff or crew members or the vessel itself or who generally acts in manner which creates a disturbance on board the vessel. In the event of such forced ejectment, neither the operators nor owners, nor staff, crew members or their agents shall be responsible for any loss or damage whatsoever arising there from, including but not limited to the cost of the trip, which shall not be refundable in such a case.

15. LIABILITIES AND INDEMNITIES

While every precaution is taken to ensure travelers' safety and well-being, bookings are accepted on the understanding that travelers are aware of and appreciate the possible risks associated with this type of adventure travel. All trips, both on board The Zambezi Queen and/or any other substituted or other vessel and any land excursions are undertaken entirely at the risk of the traveler. All travelers hereby indemnify and agree to hold harmless the operators and owners of The Zambezi Queen, its employees, crew members and agents against all or any claims of whatsoever nature and against liability for loss, damages, personal injuries, illness or death arising from any cause whatsoever, whether on board The Zambezi Queen itself or on or during any land trips or excursions. Neither the owner nor operator, nor any employee, crew member or any of their agents shall be responsible for any loss, damages, injuries or deaths howsoever arising which might occur on board The Zambezi Queen and/or any substituted vessel, its tender boats or any other boats used to transfer travelers and during land excursions.

16. DIETARY REQUIREMENTS

Every effort will be made to cater for travelers' dietary needs subject to the operators of the Zambezi Queen being notified at least 30 (thirty) days prior to departure of such needs and provided that the request is reasonable in the circumstances.

17. SMOKING POLICY

Smoking is only permitted on the upper entertainment deck, on the outside areas at the front and back of the boat. All cabins are fitted with smoke detectors.
Smoking is prohibited in all cabins and their balconies.
In the event of travelers failing to adhere to these smoking rules, the operators of the Zambezi Queen are entitled, in their sole discretion, to take such action as they deem necessary and appropriate in the circumstances, including the ejectment of the offending traveler.

18. TELEPHONE AND INTERNET

Whilst this service cannot be guaranteed, cell/mobile reception can be received from Botswana.

19. REPRESENTATIONS AND WARRANTIES

These terms and conditions are binding upon all travelers on The Zambezi Queen without exception and no representations, warranties, promises or the like made by any party shall be binding unless contained herein.

20. JURISDICTION AND LAW

The laws of the Republic of South Africa shall govern in respect of any matter arising out of these Terms and Conditions.
Failure on the part of the guest/travel company to comply timeously or at all with any of the terms and conditions contained herein shall entitle Zambezi Queen, at its sole discretion, regardless of reservation requirements and/or payments already received, to cancel/refuse to accept the guests/travel companies reservation in respect of groups or individuals in question, unless satisfactory alternative arrangement are made by the guest/travel company.

21. SAFES IN CABINS

Please note that all cabins have safes and guests are requested to ensure that their valuables are locked in the safes at all times./p>

22. SWIMMING POOL

Zambezi Queen features a plunge pool and is used entirely at your own risk.
There is no life guard on duty.

23. GENERAL

Loud music and noise is absolutely not permitted due to National Park requirements.
The bar closes at 10.00pm in the evening.

24. SAILING

At the sole discretion of the captain, the routing or itinerary may be altered due to weather conditions or water levels which fluctuate depending on the time of year.
